Note: if you use a date format other than
month-day-year on your computer, change the computer's date
format to month-day-year before exporting your data from
MeetingMaker. Otherwise, the conversion process will not
work, because it only accepts dates in MMDDYY format.
First, go to the File menu and choose the
Export Calendar... option.
The dates in the next box will determine how much of your
data is converted. Consider exactly how much information you
will need to have at your fingertips from the past. After the
conversion, you will still be able to access an archive of
your old data using the MeetingMaker software on your PC,
similar to the way you can access MeetingMaker data on a
laptop when you are not dialed in to the Internet. Therefore,
it is probably not necessary to convert all of your old data
onto the new system, just the information you expect to need
on a regular basis. On the other hand, you want to be sure to
copy all of your future appointments into the new system.
Consider how far into the future you might have made
appointments, and choose the Ending on: date accordingly.
In the illustration, two years of data are being moved over:
everything from December 1, 1998 until December 1, 2000.
Edit the dates in the Starting on: and
Ending on: boxes.
Also, click on the pop-up menu next to the words Type
of export". Choose Text Export (1.5
Compatible)
Next, click OK
You will see a dialog box asking you where you would like to
save the data file, and what name you would like to give it.
Give the file a name you will remember, and put it into a
location on your hard drive where you will be able to find it
again.
You will see an indication on your screen of the progress
being made in exporting the data.
Once the data has been exported, e-mail it as an attachment
to the CorporateTime Administration account,
ct-caladmin@umd.edu. Please specify what version
of MeetingMaker you were using; different versions of
MeetingMaker provide slightly different information in the
export. The data will be converted and uploaded into your
account on the calendar server within a day or two. If you'd
like to ensure that your data is converted at a particular
time, please make arrangements via e-mail in advance to
ensure staff availability.
These are the currently known limitations:
Repeating meetings will not be converted over as repeating
meetings. Instead, they will be a sequence of individual
meetings. It is strongly recommended that
you delete repeating meetings from your MeetingMaker calendar
before exporting. Simply write down on a piece of paper what
they were. Then, re-create these meetings in CorporateTime.
This will make it much easier to make changes to those
meetings in the future.
Meetings you have with other people will not appear as group
meetings on the new calendar, so if you update them, the
other people attending the meeting will not receive the
updated information.
Banners (available in MeetingMaker 5) will not be converted.
